Emails about a WooCommerce order
When a customer says the receipt never came, you are usually looking at their order. So with WooCommerce active, each order's edit screen has a box, Emails about this order, listing every email WooCommerce sent about it, newest first: which email it was, by WooCommerce's own name for it (New order, Processing order, Completed order, Order details, Refunded order, Customer note and so on), who it went to, when, and what happened, in the log's own words: Sent; Refused or Given up, with what the mail server said; Partly sent, when the mail server took it for some of its addresses (the customer, say) and refused the others (a stale Bcc), with what it said about those; or Trying again, with when the next attempt is due. An email the mail server refused for the customer and took only for a Bcc of your own reads Refused, because the customer does not have it. Open in the log opens the same message in the log. In the log, each of these rows says Order #1234 under Asked by, linked to the order. The number is the order's number as WooCommerce shows it, so on a shop where another plugin numbers orders (WC-00087, say) the log uses that number too. For an order that has since been deleted it shows the order's ID.
The box is shown to whoever can open the log (administrators), and lists the newest 50 emails sent about the order since the update that added it, and says so when there are more. Emails sent before that update are in the log, but not linked to their order, and neither are the emails WooCommerce Subscriptions sends about a subscription itself. It needs Keep a record of what was sent switched on, and it says so when it is off. Like any box on that screen, it can be hidden under Screen Options.
Each row says whom the email is for, To the customer or To the shop: recent versions of WooCommerce have a Cancelled order and a Failed order email for each, under the same name. Send it again is on the newest row of each email WooCommerce can send again for an order with nothing but the order: New order, Order details (the invoice), Processing order, Completed order, Order on-hold, and both Cancelled order and Failed order emails, as WooCommerce's email settings name them. It does what WooCommerce's own order actions do (Resend new order notification and Send order details to customer): WooCommerce builds the email again from the order as it is now and sends it, the log shows it as a new row, Sent again from the row it replaced, and a private note on the order says which email was sent again and to whom. It does not need Keep the message itself as well, because the email is made again rather than copied.
- An email to the customer goes to the address on the order as it is saved. If the customer typed their address wrong, change it on the order and press Update first, then press Send it again.
- An email to the shop (New order, and the shop's Cancelled order and Failed order) goes to the recipients set for it in WooCommerce → Settings → Emails, not to the address on the order.
- One press sends one email. A reload, the same button pressed twice, the same page open in another tab after the email went, or a second press made while the first one's email is still with the mail server sends nothing more, and the order screen says why. So does a press on a page drawn before the retry queue sent that email, or tried it again.
- On an email that went to some of its addresses, a line beside Send it again names who already has it: the button sends WooCommerce's email to all of its addresses again, so they get another copy.
- If that email was refused earlier and is still waiting to be tried again, it is taken out of the retry queue once the new one has gone (or is itself waiting to be tried), so the customer does not get both. If nothing went and nothing will try again, the waiting one is left exactly as it was.
- Refund and customer note emails have no button: WooCommerce needs the refund or the note to write them again.
- An email being sent at that moment, or whose last try was cut off part way, says it may already have gone, and has no button; nor has a newer copy of that email until the daily tidy-up has given up on the one cut off.
- If the email is switched off in WooCommerce → Settings → Emails, nothing is sent and the order screen says so.
After the press you are back on the order, with a line at the top saying what was sent and to whom, or what the mail server said. When the mail server takes the email for some of its addresses and refuses the others, the line says whom it was sent to and what the server said about the rest, and the order note names the addresses that were sent it. The line is a warning, or red when every address on its To line was refused (the customer's, for an email to the customer), since the person it was for does not have it. Nothing about the email itself changes: it is WooCommerce's, with its template and its sender.
