A view is a filter and a column set under a name. Set the filters, choose the columns, their order, the sort and the rows per page, then press Views in the toolbar and Save this view as…. Next time, open Views and pick it: the filters, columns, sort and rows per page all come back at once, the Filters and Display tabs show them, and the download button exports that view. Saving again under a name you already use updates that view, after asking whether to replace it. If a view of that name was saved in another tab after this page loaded, it asks about that view before replacing it. A view is saved from the list this page shows: if the filters, the columns or the rows per page have been changed in another tab since this page showed its rows, it says so and saves nothing; press the reload button in the toolbar and save again. Pressed while the list is still loading, Save view says so and keeps the form and its name: press it again once the list has loaded.
What a view keeps: the filters that are applied (not what has been typed into the Filters tab without pressing Apply filters), the columns to show and hide, the column order, the sort field and direction, and the rows per page. What it does not keep: edits you have not saved, column widths, Wrap long text in cells and Keep filters after reloading the page, which stay as you have them. Opening a view with unsaved edits in the grid asks first, as a new filter does.
- Your views are yours alone, on this editor, on this site. Each person can keep 30 per editor.
- Shared views: tick Share with everyone who can use this editor when saving, and the view is listed, with a Shared label and "Shared by" and the name of the person who shared it, for everyone who can open that editor. Only the person who shared it, or somebody who can manage the site's settings, can rename or delete it. Opening a shared view never shows anybody more than they could already see: the editor's own permission still applies, and a filter only narrows the list. An editor can hold 30 shared views; when it is full, somebody who can manage the site can delete any of them to make room.
- Ready-made views on Products: No image, No SKU, Out of stock and Low stock. Low stock uses your store's own thresholds from WooCommerce → Settings → Products → Inventory: stock above the out of stock threshold and no higher than the low stock threshold (1 to 2 with WooCommerce's defaults). A low stock amount set on a single product is not taken into account. Each only sets a filter and keeps your columns as they are. They are in your admin language and cannot be renamed or deleted.
Rename and delete a view from the pencil and bin buttons beside it in the menu. Two of your views cannot share a name. If a view names something that has gone since it was saved, it opens without it and says so: a custom-field column that has been switched off ("The column Supplier code no longer exists and was left out."), or a category, tag or attribute value that has been deleted. Custom-field and taxonomy columns are chosen by each person, so a shared view can name a column that the person who shared it has and you have not set up; it then says "The column Supplier code is not set up for you and was left out." In either case the view still remembers the column: switch it on under Custom fields or Taxonomies, then open the view again, and the column is back. Do not save over the view before you do, or it is saved without that column. If every column a view chose has gone, it shows every column, as Display does when no column is chosen there, and names the ones that went. A view sorted by a custom field that you have not set up, or that has been switched off since, opens sorted by ID, newest first, and says so ("It was sorted by Supplier code, which is not available to you, so the list is sorted by ID instead."). A view saved with every column showing chose none, so it never says a column has gone: it shows every column there is when you open it, as Display does with Columns to show empty (so without the four Products columns that show only when picked; see Display settings).
A view keeps its filter values exactly as they were typed. On the Orders and Reviews editors that can be a customer's email address or name. Tools → Erase Personal Data looks for the person's email address in every saved view on the site, yours, your colleagues' and the shared ones, and in filters kept with Keep filters after reloading the page, and takes it out: a filter box that holds the address is emptied, so the view lists more rather than nothing, and a view named with the address keeps its other words. It finds the email address only. A view that filters on a customer's name, phone number or postcode is not found by it, so delete such a view yourself when that customer asks to be erased.
On a network each site keeps its own views: a view saved on one shop is never listed on another. Deleting the plugin with Delete all data on uninstall switched on removes every view, personal and shared, on each site that asked for it.
